With a goal to expand across Scotland and serve 3,000 young people each year by 2024, our goals could not be accomplished without the help our of dedicated corps of volunteers. Volunteers are the lifeblood of the SPA and the Volunteer Coordinator will be an integral part of the team helping us to recruit, train, appreciate and retain our corps of amazing volunteers. Job Title: Volunteer Coordinator – Part-Time
Organisation: Super Power Agency
Pay Scale:  £22,000 – £25,000 (pro rata)
Hours of work: 17.5 – 20 hours/week

The Super Power Agency (SPA) is an exciting nonprofit organisation that seeks to improve the lives and literacy rates of some Scotland’s most disadvantaged and under-resourced young people. With creative writing workshops, interdisciplinary activities, and individual mentoring, we work with young people aged 8–18 in schools and community organisations. The SPA currently serves more than 1,000 pupils a year in Edinburgh and is expanding its work to other parts of Scotland. Our programmes are free to all young people and serviced predominately by volunteers drawn from the communities we work in and serve.  The Super Power Agency is based on the work of 826 National (www.826national.org), an educational charity started in San Francisco, California in 2002, which has been replicated in 9 US cities as well as internationally in London, Dublin, Sydney, Melbourne, Paris, Buenos Aires and Milan.

Volunteer Coordinator Job Purpose

With a goal to expand across Scotland and serve 3,000 young people each year by 2024, our goals could not be accomplished without the help our of dedicated corps of volunteers. Volunteers are the lifeblood of the Super Power Agency and the Volunteer Coordinator will be an integral part of the team. Reporting directly to the Programme Manager, the volunteer coordinator: recruits and coordinates volunteering positions and volunteer staff for the SPA; manages relationships between the organisation, volunteer staff, schools, and partner organisations participating in SPA programmes; maintains organisational policies and procedures; works to appreciation and retain volunteer staff; supports SPA programming when needed; and promotes the organisation and its volunteer accomplishments.

The hours will be primarily during the week and during normal office hours, but some evening and weekend work may be required to attend volunteer events and support organisational events.

Volunteer Coordinator Job Duties

  • Works closely with the Progamme Manager and other programme staff to design and implement volunteer projects and programmes developed in line with the Super Power Agency’s mission and strategies
  • Assesses organisational and programme needs to determine number and range of volunteers needed for particular projects
  • Consults with colleagues to create descriptions for all volunteer positions
  • Manages volunteer recruitment and hiring process by advertising for available volunteer positions, presentations to the community on volunteer opportunities, interviewing candidates, and matching them with appropriate roles
  • Prepares and presents orientation materials for new volunteers, including handbooks, programmes, and kits
  • Creates and distributes information regarding volunteer policies and procedures
  • Trains and monitors volunteers during their appointments to retain or replace candidates
  • Meets with volunteers to assess their progress and satisfaction, as well as to conduct performance evaluations or skills audits
  • Cultivates a positive and supportive atmosphere by recognizing volunteer efforts and assisting volunteers with their own endeavours
  • Manages communication among volunteers and between the organisation and its volunteers, in order to share news, progress, and available positions
  • Maintains a database of volunteers and projects and tracks metrics
  • Presents updates and metrics to colleagues and executives in writing and presentations
  • Plans and implements volunteer appreciation events and programs aimed at sustaining volunteer engagement
  • Promotes the organisation, its volunteer efforts, and its accomplishments internally and externally

Relevant Experience

  • At least 2 years’ experience in a nonprofit or related field 
  • Experience volunteering and in the voluntary sector
  • Experience working with young people and adults 
  • Experience in office organisation and administration
  • Experience processing PVG applications

Skills & Abilities

  • Strong communications skills, both verbal and written. Ability to build, manage, and maintain relationships
  • Organisational skills- maintaining databases and managing office equipment and processes
  • Able to work effectively in a team and on own initiative.
  • Able to think creatively and to communicate creative ideas to others.
  • Able to pick up new tools quickly and adapt to unforeseen circumstances.
  • Experience of using Microsoft Office and Google Office Suite
  • Experience of working to deadlines.
  • Able to manage multiple tasks and projects.

BENEFITS

Paid leave (exclusive of public holidays) for this part-time position is offered pro rata (based on 5.6 weeks per year for full time employees) determined on hours worked per week. We offer paid leave per year for the first two years of employment, with increases in leave time thereafter.
